Under the general direction of the Director of Summer Sessions, the Assistant Director, Strategic Operations is a key member of Summer Session's management, providing project management and assessment expertise for strategic academic initiatives and programming. This includes direct supervision of 4.0 FTE, project management and operational oversight of initiatives directed toward continuing UCSB students and targeted populations, data collection, analysis, and reporting. The Assistant Director will also oversee student/customer service operations, and supports the Director in matters of program development and policy implementation, program evaluation and assessment, and implementation and assessment of tools and technologies necessary for an efficient and successful office environment.

Minimum Requirements

Bachelor's Degree.

5 years of experience in higher education.

Supervisory experience or in-depth experience in project management with indirect reports or clients.

Demonstrated work experience involving successful completion of projects with numerous and varying goals.

Demonstrated experience in project/program development and assessment.

Desirable Requirements

Master's Degree.

5+ years of higher education experience in academic affairs.

Experience in successfully supervising three or more direct reports.

Experience in public speaking, writing for publication, and/or marketing.

Experience with distributed leadership or management.

Project Management & Daily Operational Management

Using a distributed leadership management style and guided by student data enrollment analysis, the Assistant Director is responsible for the project management and the daily operations of strategic academic programming and initiatives within a complex office with numerous administrative functions and targeted markets.

(1) oversees 2.0 FTE dedicated to current special programs and initiatives, including directing academic program assessment. Specifically, using student data enrollment analysis, provide oversight to current administrative operational elements of targeted special academic programming. Serves as the operational lead on numerous Summer initiatives including Summer Transfers, Summer Minors, Summer Majors, Summer Stay, Senior Summer, and International Summer. Collaborates with the Director of the Freshman Summer Start Program (FSSP) and the Director of Pre-College Programs to ensure administrative fulfillment of program goals. In coordination with the Director of Summer Sessions, supports the administrative and operational development of new and strategic initiatives.

(2) employing a data analysis approach, oversees 1.0 FTE dedicated to the area of Summer Sessions' student customer service, including evaluation of service effectiveness, use of technology, enrollment corrections, and in coordination with the Marketing Specialist manages the 1.0 FTE in regard to scheduling outreach tabling events; Ensures compliance with personnel & collective bargaining unit policies. Oversees the hiring and daily responsibilities of student workers.

(3) provides in-depth data analyses and reporting to the Director of Summer Sessions, Colleges/Schools, collaborates with Institutional Research, Office of the Registrar, and the Office of Budget and Planning when appropriate.

(4) facilitates the call and awards process of the Cultural Enrichment Program for Summer.

(5) facilitates all summer programming in relation to current UCSB graduate students and Teaching Associates.

(7) coordinates with the Finance & Business Manager to develop and maintain vendor contracts.

(8) in collaboration with directors of Summer Sessions' academic programs, directs grant writing for maintaining and expanding Summer programming.

(9) when needed, represents the department on campus committees regarding curricular initiatives and innovations which Summer Sessions may be supporting.

(10) is a strategic liaison between Summer Sessions and the campus community.

Support the Director in the development and implementation of special programs dedicated to all potential student groups enrolling in summer. Cultivate a culture of enrollment data collection and analysis to guide special programming development, and act as campus liaison for special initiatives to build consensus of new programming. Collect and present relevant data to campus collaborators to gain consensus.

Via national and local research and analysis, provides support to the Director in the areas of office technology and tools, specifically in the areas of project management and customer service. Collaborates in the oversight of Information Technology uses in Summer Sessions, including oversight of technology vendor relationships, and ensures the uses of Information Technology by Summer Sessions remain consistent with current trends in education and business.
