Overview

The Manager of Information/Circulation Activities is responsible for coordinating and overseeing the daily information and circulation operations at the UAMS Library.

The Information/Circulation desk is the main point of contact upon entering the Library where staff provides triage assistance to locate materials, uses the electronic resources, directs users to appropriate services, departments and locations in the Library and on campus.

Responsibilities

  • Coordinates and oversees circulation department operations and staffing for the Information/Circulation Desk
  • Supervises personnel in Library and departmental policy; oversees the printing systems; oversees and audits financial transactions, tools, policies and procedures.
  • Trains and evaluates staff in service at the Information/Circulation desk in the use of integrated library system (Koha), the Library website and online tools, databases, electronic journals and books to equip staff to perform all required services and processes and provide customer service.
  • Oversees the UAMS/Central Arkansas Library System (CALS) collaboration that supports circulation of CALS materials from the UAMS Library, trains staff in the use of the CALS system, procedures, and their policies.
  • Trains and evaluates staff in the use of the printing systems used in the Library to perform all required service processes and provide customer service.
  • Schedules staff to cover the desk for all hours the Library is open for service.
  • Models excellent customer service and trains staff in customer interactions
  • Instruct patrons in the electronic materials, library catalog, and online forms.
  • Investigates and trouble-shoots reported problems with e-journal access, the library catalog, website, and printing systems and works Library IT staff and with other library departments or campus IT to resolve access or connectivity issues.
  • Oversees financial processes and services at the Information/Circulation desk including daily sales of prints and copies, collecting overdue fines and replacements costs for lost items, and balancing the cash register.
  • Trains staff in the use of the cash register and credit card machine; financial policies and procedures; auditing daily balance reports and resolving discrepancies for the cash register reconciliation.
  • Maintains the patron database: enters complete information for newly created patron records for UAMS faculty, staff and employees as well as non-UAMS health care professionals as well as other qualified Library users.
  • Processes campus clearances for departing employees and graduating students in conjunction with campus Human Resources department and the office of the Registrar and the student information system.
  • Oversees the electronic overdue notice delivery system to ensure correct delivery and submits bills for replacement costs of lost materials.
  • Resolves patron issues concerning fines and billing.
  • Oversees printer/copier maintenance submitting monthly usage reports, placing service requests for toner.
  • Compiles and maintains database of activity records for Circulation staff for the purpose of reporting department activity.
  • May perform other duties as assigned.

Qualifications

Minimum Qualifications:
  • Bachelor's Degree in scientific disciplines, library science, computer/information sciences or related field PLUS three (3) years of library experience OR Associates Degree PLUS five (5) years of library experience
  • At least one (1) year of supervisory experience
  • Advanced proficiency with Microsoft Office products (Word, Excel, Outlook and PowerPoint)
  • Experience with an integrated library system

Preferred Qualifications:
  • Experience working in higher education
  • Library management experience
  • Proficiency in medical terminology

Competencies:
  • Knowledge of online Library circulation system
  • Excellent customer service skills
  • Ability to communicate (verbal and written) effectively
  • Awareness of medical terminology
  • Ability to write letters and reports
  • Ability to interact with circulation staff and other departments in the Library as well as all varieties of campus employees, students, and visitors to the Library
